Number documents and record source, date, description, and the fact each supports. Keep originals unmarked and work from copies. Export portal messages and save delivery evidence for letters.
A call log should record date, time, number, name given, topic, and next step. Do not rely on memory for promises or deadlines.

Protect sensitive information
Redact unnecessary account and identity numbers from copies. Store the file in an access-controlled location and be deliberate about what a complaint portal or email transmits.
Update the chronology when a response arrives, a deadline changes, or a court document is served.
Ask another person to reconstruct the sequence and current deadline using only the index and stored records.
